Work Schedule: Part-time – 20 hours per week

Summary:
The work schedule for this position is: Part Time (20 number of hours per week)

Start date: Candidate must be able to begin working within a reasonable period of time of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Roles
Performs all duties of a security escort by monitoring and escorting non-cleared visitors and personnel while in controlled access areas (CAA) or in other locations within mission facilities and grounds.
The position is part time, some after-hours, weekend and holiday work may be required. This position is directly supervised by the Deputy Facilities Manager.
The incumbent must be able to obtain and hold a Top-Secret clearance.
Requirements
One year of general work experience in an office, management or security related environment is required.
Thorough knowledge of regulations governing control and protection of classified material set out in 12 FAM, as well as post-specific security access procedures;
Proper use of security-related equipment (radio, destruction, etc.); familiar with the general layout of mission grounds and facilities is required.
Completion of high school or equivalent diploma is required.
(Good Working Knowledge) in English, speaking/reading/writing is required.
Skills
Basic keyboard skills and computer literacy.
Must be observant, flexible and service oriented.
Duties include prolonged periods of standing/walking and somewhat physically demanding activities to include climbing, working in cramped spaces and at times working in inclement weather. Incumbent will regularly be required to move or lift objects when escorting.

DUTIES AND RESPONSIBILITIES

. Data capture all supplier invoices.
. Execute creditor reconciliations.
. Major suppliers acknowledgement of reconciliations completed monthly.
. Review and verify invoices and check requests.
. Prepare payment schedules and process payments.
. Sort, code and match invoices.
. Set invoices up for payment and Process payments.
. Enter and upload invoices into system.
. Track expenses and process expense reports.
. Prepare supplier reconciliations.

. Reconcile accounts payable transactions.

. Monitor accounts to ensure payments are up to date.
. Research and resolve invoice discrepancies and issues.
. Maintain vendor files.
. Correspond with vendors and respond to inquiries.
. Assist with month end closing.
. Provide supporting documentation for audit.
. Provide administration support to internal customers and suppliers.
. Ensure all creditors’ payments to be made within agreed payment terms, ensuring that discount is obtained where possible.
. Process invoice receipts.
. Assist in Maintaining company’s tax database.
. Assist in preparing tax provision schedules.
. Prepare sales reconciliations to align with declared revenues, VAT, WHVAT and bank deposits.

MINIMUM REQUIREMENTS

. Bachelor degree in Accounting,Finance, Business Administration or similar.
. CPA is an added advantage.
. At least 3 years’ working experience.
. Tax administration experience.
. Creditors handling background.
. Practical experience of working with an ERP.
. Hands on experience in Manufacturing environment and Payables.
. Communication skills including presentation and facilitation skills.
. Analytical skills.
. Integrity.
. Ability to work under minimal supervision.
. Problem solving skills.

MONTHLY GROSS SALARY: Kes. 80,000

Responsibilities

This position is located in the United Nations Office at Nairobi (UNON), Central Support Services (CSS), Host Country Services Unit (HCSU). 1. Assists the Field Supervisor in carrying out the work programme of the Unit, applying the immigration, duty-free and tax exemptions provisions of the Host Country Agreement to subscribing United Nations Funds, Programmes and Specialized Agencies operating in Kenya as follows:
(a) Coordinates with relevant Government of Kenya (GoK) representatives (demonstrating tact, diplomacy, ¿rmness and persistence – when necessary) to negotiate and solve sensitive and complicated problems; escalate issues to the Field Supervisor, Host Country Services Unit (HCSU), if necessary.
(b) Ensuring that information available to staff on immigration, duty -free, and VAT exemptions is updated immediately changes occur by keeping abreast of the daily press and maintaining regular contact with relevant GoK offices.
(c) Conducts brie¿ngs for new staff members on immigration formalities, duty-free and tax exemption privileges and vehicle registration, and ensure that the information is up-to-date; provide guidance to staff members in completing forms relating to the privileges and exemptions.
